Job Description

It is necessary to have an Administrative Coordinator who is outgoing and upbeat. It is your responsibility to assist management and visitors to the company by doing office duties, providing polite and professional assistance by phone, mail or e-mail, arranging bookings or travel arrangements and overall being a helpful and positive presence in the workplace.

Qualifications:

  • Computes and prepares documentation for the Division Head, as well as maintaining the calendar and producing letters and emails; generating agendas.
  • Includes additional administrative support to projects, including word processing, photocopying, printing, faxing, and emailing, as well as project equipment procurement.
  • Manage track of daily cash receipts, petty cash, files, personnel records, and other administrative paperwork in a timely and organized manner.
  • Establishes and oversees consistent communication practices, including document coordination and overnight shipment.
  • answered phone and email queries, directing them to the relevant team member
  • Incoming issues and concerns are researched, prioritized, and followed up on, particularly if they are of a sensitive nature. Determines the most effective course of action and attempts to implement it.
  • This position’s responsibilities include mail, files, appointments, photocopying, and faxing.
  • Handles calls and access for high-level positions, determining whether persons need face-to-face meetings, which may be sent to other managers or resolved if practicable. Schedules and prepares for a variety of appointments, meetings, and travel arrangements that are both simple and complicated.
  • Other administrative chores include bookkeeping, payroll preparation and review, personnel files, filing systems, supply requisitions, and other administrative tasks.
  • Administrative processes, greeting and guiding guests and visitors, assisting coworkers utilizing facilities, and running and maintaining services are examples of everyday duties.

Skills:

  • Mastery of strategic planning, resource allocation, human resource modeling and administration, production processes, and resource coordination as they relate to business and management principles is necessary.
  • A bachelor’s degree from a college or university, or a comparable mix of administrative experience, training, and education
  • Process of obtaining sensitive information with discretion, adaptability, and the highest level of client/customer service and responsiveness are shown.
  • Excellent proficiency with Microsoft Office software, including Outlook, Word, Excel, PowerPoint, and Access, as well as web-based applications. Create complex documents, do research, and administer databases.
  • Strong time management abilities that demonstrate the capacity to handle numerous projects simultaneously while paying close attention to the smallest of details.
