The Senior Administrative Assistant will answer phones, welcome customers, and perform a variety of administrative tasks. This person will produce, evaluate, proof, brand, format, foot, and tie client deliverables for all Assurance service line engagements and select Consulting service line engagements as part of the team.

Qualifications:
- In a fast-paced workplace with conflicting priorities, calendar management involves responding to all scheduling requests, prioritizing the most critical and sensitive topics or meetings, involving all parties, and setting up successful meetings.
- For individuals who inquire as to whether or not a job has been completed or completed on schedule, this person is responsible for following up. Trouble completing or producing work orders should be reported to the Physical Plant Supervisor Specialist so that they may have a look at it more closely.
- This job oversees the department director’s schedule and travel arrangements and organizes department meeting calendars.
- Ensure correct processes are followed while processing student and part-time job documentation and professional service agreements. Submit disbursement requests and trip reimbursements on schedule. Track administrative unit budgets, restricted accounts, and award/scholarship monies. Submit purchase orders and invoices for payment.
- In addition to daily casework and monthly reporting, you’ll be in charge of office supplies, postage meters, merchant card reconciliation, invoicing and refunds, and database administration for the Admin Support Supervisor.

- Respond to in-person and telephone enquiries about the department, its programs, and activities. Offer fast and effective support to guests. Maintain department supplies and ensure appropriate supplies are available as required. Manage the department’s, programs’, and program faculty’s mail and mailboxes. Maintain all office files to guarantee precise record keeping. To ensure that the office is completely working, you must submit and handle all maintenance and repair requests. Supervise work-study and student assistants to ensure competent job completion and main office coverage.
- Help link current students and prospective students with the faculty and staff advisers who can best meet their needs on campus. Develop a knowledge with the procedures and regulations of each program so that you can give fundamental student advising, such as describing checklists and the prerequisites of the program. Perform administrative tasks for students enrolled in the program’s majors and minors.
- Check your email and list serves. Newsletters and formal messages are under your charge. Manage the bulletin boards for departments and programs, as well as the marketing efforts on campus. The department’s social media accounts may be accessed. It is my job to ensure that the department and program websites have a well-planned and updated design.
- Assists the Physical Plant Supervisor Specialist in overseeing department staff coverage and rerouting work order operations depending on coverage available in the department on a given day.
Skills:
- The manager of the department is in charge of verifying the accuracy of all office documents.
- To be considered for this position, you must have a two-year associate’s degree and at least five years of administrative support experience, or an equivalent combination of education and experience, from a recognized institution or university.
- In order to be considered for this position you must have at least three years of expertise with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). It’s all about the specs. A familiarity with Microsoft Teams is a good thing.
- Capability to communicate with and collaborate with a range of university officials, employees, and teachers. Excellent attention to detail, written and verbal communication skills, and the ability to multitask are necessary.
- Having a degree is required. Education and experience beyond high school are required. Extensive experience in the insurance business (at least 3 years as an executive assistant) and a bachelor’s degree preferred.
