Job Description

The Front Desk Receptionist reports directly to the Office Manager and is responsible for providing a warm welcome to all visitors and clients as well as answering all incoming calls. In this position, you’ll need to be well-versed in and compliant with all applicable company policies, as well as local, state, and federal regulations. Also, you won’t let any sensitive information about the business or its customers fall into the wrong hands.

Qualifications:

  • Maintain order by refusing entry to anyone who doesn’t comply with the rules.
  • Using a multi-line telephone, answers, and appropriately routes all incoming calls for various business units with courtesy, speed, and accuracy. Presents a professional, courteous demeanor when using the Company intercom system.
  • The names and room numbers of residents, as well as the names and phone numbers of on-call staff, department extensions, important people, etc., should be kept up-to-date in a file or listing.
  • Manage specialized administrative tasks, such as supplementary work from departmental and executive assistants.
  • In accordance with instructions, attend and take part in workshops, seminars, etc., in-service educational sessions, and on-the-job training programs.
  • Maintains applicable records and files, directories, correspondence, and other related material. Coordinates off-site storage and shred boxes. Coordinates with copier service and repair.
  • Provides generic responses to frequently asked topics and directs more specific inquiries, concerns, or sensitive matters to the corporate office manager.
  • Watch everything carefully to make sure it’s clean, well-maintained, and safe according to the company’s standards.
  • Helps guests get badges and registered in accordance with Security guidelines.
  • Understand the procedures for dealing with all parts of client complaints or disputes.

Skills:

  • ability to work under pressure to complete multiple tasks and submit reports on time.
  • Able to handle multiple tasks, responsibilities, and/or details at once.
  • Proven expertise managing a busy schedule, including organizing meetings and appointments.
  • Proven work experience as a Receptionist, Front Office Representative or similar role.
  • Knowledge of how to prioritize work and complete multiple tasks at once.
