As a Medical Office Manager, you’ll be responsible for helping to collect, handle, and spend money from patients. The attainment of yearly and recurring targets for major statistical indicators of revenue cycle performance and for the overall financial performance of the firm are critical responsibilities. The Medical Office Manager is required to set a high level of excellence for the whole department by setting goals and implementing strategies that meet or exceed that standard. Consistency of purpose and ongoing improvement are key components of this standard, as is providing the greatest level of quality service to customers.

Qualifications:

  • Encourages collaboration among the medical staff office personnel, the medical staff service department staff, and the hospital’s own medical staff. Commitment to providing the best possible service in every way possible.
  • Ensure that all payment appeals from the Provider Dispute Process are timely handled and collaborate with external payer organizations to solve reimbursement difficulties..
  • There are a variety of tasks you will be expected to undertake in your capacity as an assistant to physicians and their patients.
  • Produce and verify financial report requests directly with information technology, ensuring that they are accurate and legitimate.
  • Work on various financial forecasts, such as payroll and direct expenditure for cost centers, month-end financial reporting for receivables (day A/R and aging levels), productivity for cost centers, and any departmental long-term strategic goals;
  • Manages the day-to-day operations of medical offices and clinic locations, as well as the coordination of work activities. Schedules and call-offs are managed by this position. Responsible for ensuring that medical professionals and patients have enough office space and supplies as well as maintenance of medical equipment and other resources.
  • Assists top management in developing budgets and ensuring that operations are aligned with corporate goals and fulfill performance and budget targets.
  • Complies with all system-wide/department rules, including the protection of patients’ sensitive information. Also ensures compliance with any regulatory bodies’ standards (i.e. OSHA, CLIA, Department of Health, etc.).
  • Personnel management responsibilities in satellite locations include hiring, training and supervising staff assigned to them, as well as performance evaluations and promotions.
  • Orders office and medical supplies and maintains proper stock levels at all times, as required. Budgetary assistance for a clinic administrator is provided by the Finance Manager.

Skills:

  • Organizational rules and practices, as well as the ability to apply concepts in a variety of contexts
  • must be knowledgeable with the procedures of patient registration, billing, accounts receivable (AR), and cash management. They must also be familiar with health insurance systems, business office operations, and industry standards for revenue resolution strategies.
  • A high level of management skills, including organizational and communication skills, the ability to handle many projects while keeping an eye on deadlines, strong attention to detail, and the capacity to protect confidentiality when dealing with sensitive information are required.
  • The ability to communicate effectively in more than one language is necessary in order to carry out the duties of this profession, particularly when dealing with matters of patient or employee safety and security.
  • Certifications/licensure necessary: CPMSM Certification (Certified Professional Medical Staff Management) or must get certification within one year of starting in the position and maintain certification with requisite CEs afterwards.
