The Office is looking for someone who is very organized and motivated to join our administrative team as an Executive Secretary. They will perform advanced, diversified, and confidential administrative and secretarial tasks. In this job, you need to have a wide range of skills and experience. You will work with and support associate vice presidents, assistant vice presidents, and directors as needed. The job will help with the calendar, committee, event, meeting, and travel support, as well as with general administrative and project management tasks.

  • Perform sophisticated, diverse, and confidential administrative and secretarial assistance for assigned associate/assistant vice presidents and directors. Tasks will vary depending on requirements and priorities, but will involve general coordination and administration of executive assistant operations such as calendar, committee, event, meeting, and travel assistance, as well as contacts with stakeholders.
  • Support a broad variety of strategic, operational and tactical efforts that support the organization’s overall goals and objectives.
  • Meetings should be held as often as possible and minutes should be kept so that the Deputy Superintendent and the Superintendent Office can stay up to date on any changes.
  • Aide the SVP with things like writing and editing emails, making memos, and setting up meeting agendas, as well as other things.
  • Organize and supervise the completion of administrative activities in the capacity of a personal assistant. Operational demands of Deputy Superintendent are predicted and anticipated in a proactive manner by this person.
  • Help the office run smoothly and efficiently by providing a high level of administrative assistance as a part of the administrative team. Additionally, normal administrative duties such as welcoming visitors, keeping conference rooms in good repair, and helping with other initiatives are included.
  • Works with a wide variety of municipal agencies and authorities via phone, which may need a high degree of tact and discretion in dealing with diverse difficulties.
  • Strive to increase the operation’s efficiency by looking at the people, processes, and productivity trends.
  • Prepare presentation materials, such as slides and talking points, and aid in the scheduling of events by assisting with the management of plans, the maintenance of paperwork and files, and progress reports.


  • In-depth understanding of director or executive office administrative and coordinating activities.
  • have previous experience evaluating the performance of employees and organizations, making suggestions for process changes as necessary, and putting those recommendations into action.
  • Exhibit remarkable knowledge of office technology such as Microsoft products, virtual platforms, and room A/V systems, as well as a desire to pick up and master new abilities as required.
  • Willingness to work in a team atmosphere and shown attention to detail are among the qualities that make this person stand out.
