Qualifications:
- Duties include administration, clerical work, record keeping, bookkeeping, file reviewing, and providing other administrative support.
- Oversee facility upkeep; act as a link with local property management; and collaborate with building personnel and relevant internal contacts.
- Responds to public enquiries about the branch’s programs, services, policies, and processes; on occasion, is responsible for proposing a course of action to management in specific areas.
- Maintaining office services entails regulating communications, arranging file systems, reviewing and approving supply requests, assigning and monitoring clerical tasks, and so on.
- As a member of the firm’s administrative operations team, you’ll be a part of initiatives and projects designed to enhance how we serve our internal and external customers.
- Organize and carry out regular office events and functions, such as employee celebrations, client appreciation days, and charity drives.
- Observe all established procedures for keeping the office safe and secure, and make sure the space can fulfill all of the company’s business continuity needs.
- Manages a team and ensures that everything runs well, from shift scheduling to employee evaluations.
- carries out complex clerical tasks such letter and report writing, filing, answering queries, referring clients, and scheduling appointments.
- Manage the day-to-day activities of the office, including the secretarial, administrative, and clerical staff, as well as any other outside vendors used (mail, document reproduction and hospitality)
Skills:
- Skills in executive-level management, communication, and organization.
- Skilled user of Microsoft Office (Outlook, Word, Excel, and PowerPoint) with a knack for picking up and using new technologies.
- Ability to stay focused, efficient, and effective in managing multiple priorities and tight deadlines with grace and poise.
- The ability to juggle multiple tasks and set priorities in a high-pressure, detail-oriented setting.
- a bachelor’s degree and at least seven years of experience working in management in a midsize or larger professional services organization.
