Qualifications:
- Front desk support, including greeting clients and guests, answering phones with a smile, and using suitable language and taking detailed messages are all part of your remit.
- For proper disposal of all customer information, regular shredding of outdated or superfluous records is recommended.
- Establish and manage client files in accordance with legal and regulatory standards, and produce reports and databases for file and record-keeping purposes.
- ensure that all shared office equipment is in good working order and reports any issues to the facilities manager. Maintain an ever-available stock of office supplies, including goods used in the break room.
- Create and manage customer files, gather client data for reports and forms, and send out correspondence as requested by the firm’s advisor.
- Review and respond to all electronic correspondence; promptly address issues and concerns with professionalism and attention to resolution.
- Maintain up-to-date client data in the contact management system and contact database for purposes of reporting, scheduling, fee tracking and marketing.
- Processes purchases and sales of fixed income and equity securities via trading to accounting software.
- Accounts are opened and closed, trading authority and power of attorney are added when needed, life insurance and annuity accounts are linked, client registrations are finalized, and all client service requests are attended to in a timely manner.
- Act as key member of deal teams with responsibilities for sourcing potential investment opportunities, conducting due diligence and drafting investment memorandums for fund investments and co-investments.
Skills:
- Familiarity with Redtail, Orion, Morningstar, MoneyGuidePro, and Wells Fargo Advisors is highly desired.
- Candidates should have a background in finance or a related field (billing, accounting, purchasing, mathematics, etc.).
- experience successfully managing clients or providing excellent customer service. It would entail identifying problems faced by customers and providing/launching effective solutions.
- Bachelor’s degree desired, though work experience and completed college coursework will also be taken into account.
- Ability to function autonomously and effectively in a time-constrained setting.
