Job Description
A Front Desk Receptionist will oversee the daily operations of the front desk and assist with other administrative and clerical duties as needed. You will be our company’s initial point of contact in your role as front desk receptionist. The Front Desk Receptionist’s responsibilities include providing office-wide administrative support. You will be responsible for greeting and welcoming customers and guests to the establishment. Among your duties will be directing incoming phones and distributing outgoing mail. It helps to have a sunny disposition if you want to make it as a front desk receptionist because you will be interacting with customers frequently. You need to be able to handle unexpected situations calmly and competently while yet keeping the office running smoothly. The ability to multitask and deal with stress is a must in this role. For this position, the ability to work shifts is a plus. Last but not least, it is the receptionist’s responsibility to ensure that all guests are warmly welcomed and that all administrative chores are carried out to the best of their abilities.

Qualifications:
- Engage in and attend mandatory training events (workshops, seminars, etc.), as well as in-service training and on-the-job training programs.
- Answers and routes calls coming in on a multi-line phone system in a polite, timely, and precise manner for various departments in the company. Using the company intercom in a courteous and professional manner.
- delivers a stock answer to common client inquiries and directs more complex inquiries to the manager of the company’s main office.
- Helps guests get badges and registered in compliance with Safety regulations.
- Ensure guests/visitors abide by existing rules and refuse admission to persons as directed.
- maintains up-to-date versions of all relevant documentation at all times. controls the off-site storage and box-shredding process. control the servicing and upkeep of copiers.
- Don’t let your list of residents, emergency call personnel, department extensions, critical personnel, etc., get out of current.
- Maintain a close eye on all working conditions and equipment to ensure they meet corporate requirements for cleanliness, adequate maintenance, and safety.
- Understand the procedures for dealing with all parts of client complaints or disputes.
- See to the extra administrative duties of other staff members, such as those in other departments or reporting to the CEO.
Skills:
- Capacity to juggle a wide variety of tasks, initiatives, and details with ease.
- Prior experience in the role of Receptionist, Front Office Representative, or a similar role is necessary.
- Ability to manage and prioritize many tasks while adhering to severe deadlines.
- demonstrated proficiency in managing a calendar and knowledge of setting up appointments.
- Skills in multitasking, time management, and the capacity to prioritize tasks.
