Job Description
Secretary duties include secretarial and administrative assistance in an effort to improve office workflows. You’ll help your coworkers and bosses by assisting them in organizing and disseminating data. You’ll be the go-to person for any questions, concerns, or problems that arise, and you’ll be an important member of the team.

Qualifications:
- Make tentative appointments without permission. Make plans to attend conferences and gather relevant background materials. Arrange meetings and gather relevant documents. May attend meetings to record and report.
- It is essential to have a well-maintained and well-stocked supply of general office equipment (copiers and printers, fax machines and multifunctional devices, and so on).
- Subordinate offices’ administrative personnel should be informed of any new administrative procedures, and information from the subordinate offices should be asked for periodic or special conferences, reports and inquiries in addition to accommodating the administrative load.
- Screen incoming phone calls, visitors, and mail; personally react to requests for information about office operations; and assess whether inquiries should be sent to the appropriate organizational representative or other offices.
- To respond to frequent requests about office programs or monthly reports, collect data from files or staff. Explaining the organization’s office processes, organizing staff, and processing administrative paperwork are all tasks that you will be responsible for.
- When a guest calls, he or she should be referred to the proper staff member. Keep track of mail delivery and distribute forms by sending letters on time.
- Establish the appropriate documentation and inform organization representatives of the concerns that must be addressed through conference calls, letters, appointments, meetings, and phone conversations.
- Select pertinent material from a variety of sources, including reports, documents, letters, and other offices, in order to develop one-of-a-kind or one-time reports, summaries, or replies to inquiries.
- Outgoing documents and communications should be inspected for internal coherence and adherence to corporate policies and procedures before they are sent out.
- Employee attendance, equipment inventories, correspondence logs, and training programs should all be within the secretary’s purview.
Skills:
- GED or high school graduation required; two years of college or business school, or similar job experience, and the ability to write strongly recommended
- Workers, departments and members of the general public must all be able to work together effectively.
- With little or no supervision, manage and prioritize many projects while completing tasks on time and on budget.
- For this role, data entry and retrieval must be accomplished using a computer, student information system, district financial system, or any other automated method.
- Microsoft Office skills, including Excel and Word proficiency, are essential for a secretary, as are strong verbal and written communication skills.
